Booking and Confirmation

Your booking is not confirmed until the following steps are completed: The contract is signed and a copy of your ID (e.g., driver’s license) is returned and approved by a Massey Matters Hub Manager, and Massey Matters has received full payment into their account.

Yes, a $100 bond is required for both Casual Hirers and After-Hours Bookings for Regular Hirers. The bond must be paid via cash or bank transfer to confirm the booking.

The bond is refunded to the Casual Hirer on the next refund round (fortnightly) if no additional charges have been incurred. This may take up to 10 working days dependent upon when bank account details are received.

Setup and pack down times must be included in your hire period, and you must adhere strictly to the confirmed hours. All persons must vacate the facility by the end of the hire period, or additional charges may apply.

While the exact online steps are not in the contract, the general process involves: submitting your request, receiving the contract, signing and returning the contract with ID, paying the bond (if applicable), and paying the full hire amount at least 3 days prior to your booking.

Massey Matters reserves the right to invoice the Hirer for additional charges, including: repair/replacement costs if the damage exceeds the bond amount; a fire service fee up to $1500 + GST if a fire alarm is set off by prohibited activities; a call out fee up to $250 + GST if the security alarm is set off; and extra cleaning, rubbish removal, or reinstatement at $50 per hour.

You must give 5 working days’ notice of cancellation. Otherwise, you will be charged for the full room hire amount of the booking(s) you have made.

As a not-for-profit, we aim to keep rates accessible, but please contact the Hub Manager to discuss rates for registered charities, local community groups, or regular, ongoing community-focused activities.

Rules and Capacity

The stated capacity must not be exceeded. The current limits are:

Massey Community Hub:

  • Garden View Room: 80 people
  • Park View Room: 30 people

Manutewhau Community Hub:

Venue must not exceed 50 people.

Absolutely NO Alcohol Consumption, Smoking or Vaping is permitted in the venue or surrounding areas.

Yes. The person signing the contract must certify that they are over 18 years of age. Additionally, they are required to be present for the duration of the event.

TV monitors are available to hire in the main rooms. The rate is $50, which covers the duration of your booking on a single day. You must return the remote control and HDMI cable to a secure box at the end of the hire to avoid a deduction from your bond.

Yes, you can. However, any electrical plug-in devices belonging to hirers must be tagged and tested by hirers prior to use. Any damage resulting from untested appliances is the responsibility of the hirer.

Cleaning and Lock Up

The Hirer is responsible for ensuring the hired space is left clean and ready for the next user. This includes wiping down kitchen surfaces, washing/drying dishes, cleaning bathrooms, and vacuuming/mopping floor areas used.

You must remove ALL RUBBISH and RECYCLING off site (both inside and outside). DO NOT use hub rubbish bins to dispose of your waste.

You must secure the facility after the function. You need to switch off all electrical appliances/lights/heaters/stoves, ensure all windows and doors are secure, and ensure that the alarm is set and activated.
